Workflow Audit

A build plan, not a slide deck.

In one or two weeks, we learn how work actually moves through your business, put a dollar figure on what each part costs you, and hand you a ranked list of what to fix first. Some of it won’t be automation. We’ll tell you that too.

Who It's For

For owners who know something's leaking, but not where.

For businesses with roughly 5 to 50 people, where the owner still feels every slow reply, missed follow-up, and form typed in twice. You've been pitched software, maybe bought some, and you're still not sure what to fix first.

Who it's not for

  • Fewer than five people. Start with the Free Workflow Review. It usually covers it.
  • You already know exactly what you want built. Go straight to the service pages.
  • Your real problem is not enough customers. We’ll say so on the first call, because an audit won’t fix that.

How It Works

Diagnosis first. Then the fixes, in order.

1. Talk

We interview you and the people who do the work, 30 to 45 minutes each. We ask how things actually get done, not how they're supposed to.

2. Map

We write down every recurring workflow: who does it, how often, which tools it touches, and where it breaks.

3. Score

Each workflow is scored on how often it runs, how often it goes wrong, and how bad it is when it does. Then we put a dollar figure on it, using your numbers.

4. Plan

You get a fix plan for each top item, in the order to build them, and a walkthrough with your team.

Sample Workflow Map

What a Workflow Map looks like.

Example only: a made-up 12-person roofing company, not a client.

Workflow Who does it How often Goes wrong Cost if it fails Hours a week Call
New web lead gets a first reply Office manager Daily Often Low 4 Fix first: instant text reply
Job details re-typed into the CRM Office manager Daily Often Low 8 Fix: form-to-CRM sync
Following up on sent estimates Owner Weekly Often Medium 3 Fix: follow-up sequence, owner approves
Matching supplier invoices Bookkeeper Weekly Sometimes High 5 Automate the matching; a person approves payment
Scheduling crews Owner Daily Sometimes High 6 Don’t automate yet: needs judgment
Answering Google reviews Nobody Weekly Always Medium 0 Not automation: give it an owner

The map is where the audit starts. Each item at the top gets its own fix plan.

What You Get

What each fix plan tells you.

The problem

In plain words, with the workflow it lives in.

What it costs you now

Your hours and wage costs, with the arithmetic shown.

The fix

What gets automated, and what stays with a person.

Build and running costs

What it costs to build, and what it costs each month to run.

Payback

How many months until it pays for itself.

When not to build it

The conditions where this fix isn't worth it yet.

How We Put a Number on It

We don't promise revenue we can't see.

We measure what a workflow costs you today: the hours it takes, times what those hours really cost, minus what the fix costs to run.

Hours a week × real hourly cost × 52 − yearly running cost = what the fix is worth each year.

Build cost ÷ monthly value = months to pay it back.

Example

An admin assistant spends 8 hours a week re-typing job details. The U.S. median wage for that job is $22.18 an hour.1 Wages are 70% of what employers spend on a private-industry worker once benefits are added,2 so the real cost is about $31.69 an hour.

8 × $31.69 × 52 = $13,183 a year. The fix costs about $50 a month to run ($600 a year), leaving $12,583 a year. A $3,000 build pays for itself in about 3 months.

Saved hours only turn into money if they go somewhere: better work, less overtime, or a hire you don’t need yet. Each plan says which.

1. U.S. Bureau of Labor Statistics, Occupational Employment and Wages, May 2025: secretaries and administrative assistants, except legal, medical, and executive.
2. U.S. Bureau of Labor Statistics, Employer Costs for Employee Compensation, June 2026: private industry.

Your fee counts toward the build

If you hire Fernvay to build anything from the plan within 90 days, the full audit fee comes off the build price.

The guarantee

If the audit doesn't find at least one fix worth more than its fee in its first year, you don't pay. It's measured the way the audit measures everything: your numbers, with the arithmetic shown. We refund your kickoff payment and don't invoice the rest.

Founding rate: 3 spots left

Our first three audits are $1,000 (Focused) or $3,000 (Full), in exchange for a case study, a short testimonial, and an occasional five-minute call with a business owner considering an audit.

Timeline

What the week (or two) looks like.

Focused: one week

Day 1: a 30-minute kickoff with you. Days 2 to 3: interviews. Day 5: the walkthrough and your written plan.

Full: two weeks

Week 1: kickoff and interviews. Week 2: mapping, scoring, and fix plans. End of week 2: the walkthrough with your team.

Frequently Asked Questions

Do I have to build with Fernvay?

No. The plan is written so any developer, or your own team, can build from it. If you build with us within 90 days, the fee is credited.

How much of my team's time does it take?

30 to 45 minutes per person interviewed. Your own time is about 2 hours for a Focused audit and about 3 for a Full one, walkthrough included.

How does payment work?

Half at kickoff, half at the walkthrough.

Do you need our passwords?

No. We look at your tools on a screen-share or with view-only access.

Do you work in Spanish?

Yes. Interviews and the plan can be in English or Spanish.

What if you don't find anything worth fixing?

Then you don’t pay. See the guarantee above.
